What this covers

This policy covers the Race Link Pro iOS app and the web app at app.racelinkpro.com. It describes what the product collects, where that information goes, how long it is kept, and what you can remove.

It describes the system as it is actually built. Where something is not deleted, this page says so rather than implying otherwise.

What we collect, and why

Your account

Your name, email address and password, plus a profile picture if you add one. If you sign in with Google, we receive your name and email address from Google. Accounts are handled by Clerk, our authentication provider — your password is stored by them, never by us.

Your location

While location sharing is on, your phone reports its position to your group so the rest of the crew can see where you are on the map. With background permission granted it keeps reporting while the app is in your pocket or the screen is off; that is the whole point of the permission, and it is the reason a chase truck does not vanish from the map the moment somebody puts their phone down.

Location is shared with the groups you belong to. It is not shared with anyone else, and turning sharing off stops the reporting.

What you say on a channel

Push-to-talk transmissions are recorded. When you hold the talk button, the audio is sent to your channel live and also stored, so that the channel has a scrollback anyone in it can play back later. Each recording is stored with who sent it, which channel and group it belongs to, when it started and how long it ran, and whether it was sent as an emergency. Typed messages to a channel are stored in the same thread.

Recorded transmissions are sent to Deepgram, a transcription service, and the text they return is stored alongside the recording so the scrollback can be read as well as heard.

Your device, for notifications

We store the push tokens Apple issues for your device so a transmission on a channel you are monitoring can wake the app and play. These identify a device to Apple's notification service; they are not an advertising identifier.

What your group puts in

Groups, channels, lap and checkpoint times, fuel figures, jobs, itineraries and pitbook documents are stored so the crew can share them. They are visible to the group, and to anyone a group admin shares a link with.

Who else handles it

These companies process information on our behalf, each for one job. We do not sell personal information to anyone, and there is no advertising in this product.

• Clerk — accounts, sign-in and passwords.
• Deepgram — transcription. Recorded transmissions are sent to them as audio and come back as text.
• Apple — push notifications. Apple carries the notification that wakes your phone for a transmission.
• Railway — hosting for our servers, databases and stored recordings.

We do not use analytics, tracking or advertising services. The apps carry no third-party analytics SDK, and nothing here follows you to other apps or websites.

How long we keep it

Location

A person's location is deleted 24 hours after it is recorded — both the history and the marker on the live map. Nothing keeps a record of where a person was beyond a day.

A vehicle's or a waypoint's positions are kept in full for 48 hours, thinned to about one fix a minute after that, and deleted after 90 days. That keeps a race weekend reviewable without keeping last season on disk.

Recordings, transcripts and messages

Seven days. After that a transmission's audio, its transcript and its place in the channel's history are deleted, whether it was spoken or typed.

One exception, so it is not a surprise: if somebody reports a transmission or a message, a copy of its transcript is kept with the report after the original is deleted. Without it a complaint would erase its own evidence a week after it was made. Nothing else about the transmission is kept, and reports are not visible to your group.

Your device

Push registrations last as long as the app is installed and signed in. When you sign a device out, or Apple tells us its notification token is dead, the registration is removed.

Your account

Account information is kept until you delete your account.

What you control

• Location sharing can be turned off per group, in the app or from the web. iOS permissions can be changed at any time in Settings, and denying location does not stop the rest of the app working.
• The microphone is used only while you are holding the talk button. The app does not listen at any other time.
• Leaving a group stops your location and future transmissions going to it.
• Deleting your account is in the app under Manage account, and on the web. It is immediate and cannot be undone.

What deleting your account does not remove

Deleting your account removes your account and sign-in details. It does not currently remove the transmissions and messages you sent to a channel — those stay in that channel's scrollback for the group, the way a message you sent someone stays in their inbox after you close your own.

Your location is not affected either way: it is already deleted on the schedule above, within a day.

If you want your recordings removed as well, write to support@racelinkpro.com and we will remove them.

Reporting something

Channels carry what people say to each other, and we do not listen to them. If somebody is using a channel to abuse or harass, report the transmission in the app, or write to support@racelinkpro.com. Reports reach us, not only your group admin, and we will act on them.

You can also block a member of your group. A blocked person's transmissions stop playing on your phone and stop appearing in your scrollback. An emergency transmission is the one exception and will still reach you, because a crew member in trouble has to be able to be heard.

Children

This is a tool for race crews and is not directed at children. We do not knowingly collect information from anyone under 13. If you believe a child has an account, write to support@racelinkpro.com and we will remove it.

Changes to this policy

If what the product collects or keeps changes, this page changes with it and the date at the top changes too. We will not quietly widen what we collect and leave this page describing the old version.
